Notice of Business:

  • Receiving apologies.
  • Approving the minutes of the 2024 AGM, held on 21 May 2025.
  • Receiving the Annual Report and signed Financial Review Statements for the year ending 31 December 2025.
  • Any remits, if applicable.
  • Declaration of the candidates elected unopposed to fill vacancies on the National Board.
  • General Business for which due notice has been given.

Note: No ballot is required for the 2026 AGM Board elections.

Important Update: 2026 AGM Voting Process

If you are attending the AGM in person or online, you may vote on the resolution item at the AGM by a show of hands and do not need to complete the online proxy voting form.

Financial members who wish to vote in advance, or who are not attending the AGM and wish to vote by proxy, may choose one of the following options:

Option 1: Attend the AGM and vote in advance:

If you are attending the AGM in person or online but wish to streamline the voting process, you may submit your vote in advance by completing the online proxy voting form and appointing the Chairperson as your proxy.

Option 2: Not attending the AGM and voting by proxy:

If you are not attending the AGM, you may appoint either the Chairperson or another current IIA NZ financial member attending the AGM to vote on your behalf.

All online proxy voting forms must be received by midnight on Sunday, 17 May 2026, in accordance with the IIA NZ Constitution requirement that proxy forms be received no later than 48 hours before the commencement of the General Meeting.

Questions Relating to the Annual Report or Financial Statements

To assist with the flow of the AGM please send any questions relating to the Annual Report or Financial Statements to admin@iianz.org.nz prior to the close of business on Monday, 11 May 2026. These will be answered during the AGM. This does not preclude the asking of questions at the AGM.

In accordance with section 10.3 (e) of the 2025 IIA NZ Constitution. A Member wishing to bring before the Annual General Meeting any notice of motion or business not relating to the ordinary business of The Institute shall give notice in writing to the Secretariat not less than fourteen (14) calendar days before the day of the Annual General Meeting and no notice of motion or business other than the business brought forward by the Board shall come before the Annual General Meeting unless such notice has been given.

AGM Registration

AGM registrations are now open. If you wish to attend the AGM online, please ensure you register before Monday, 18 May 2026, to allow the IIA NZ National Office sufficient time to send the online link to you. For those attending the AGM in person, registrations will remain open until the start of the AGM on Wednesday, 20 May, at midday, where you will be able to register manually if you haven't already registered.
